What information we collect
When you use this site, we may receive:
- Pricing-review enquiries: your name, organisation, work email address, optional monthly message-volume estimate, and the message you submit.
- Booking information: details you enter when you choose to book a conversation through Cal.com.
- Technical and security information: ordinary server logs and information needed to protect, troubleshoot, and maintain the website.
The site does not include an advertising or analytics platform. The static pages use local styles, system fonts, and self-contained icons. Third-party services may process technical information when you submit a form or follow a booking link.
How we use information
We use website information to:
- respond to an enquiry and assess a requested pricing or infrastructure review;
- arrange and manage a conversation that you ask us to schedule;
- protect the website, prevent abuse, and investigate technical or security incidents;
- maintain records needed for an ongoing business relationship or legal obligation; and
- take steps at your request before entering a possible service agreement.
Services and other recipients
We use the following services in the current website flow:
- Formspree: receives and stores the pricing-review form submission in the connected Formspree account and supports delivery of the enquiry. Formspree publishes that its services are hosted on Amazon Web Services in the United States and that it relies on Standard Contractual Clauses as a processor. See Formspree’s security information.
- Cal.com: provides the external booking flow when you choose to schedule a conversation. Cal.com’s current privacy policy describes United States processing, subprocessors, and its transfer safeguards. See Cal.com’s privacy policy.
- Google Workspace: provides the hello@botflowhost.com mailbox alias used for privacy and business enquiries. The mailbox is subject to the Google Workspace agreement and account settings that apply to this service.
- Hosting and security providers: support the server, website delivery, backups, logs, and security controls.
We do not sell personal information. We only add another service provider where it is needed for the website or an agreed business service, and we will update this notice when that materially changes the processing.
International processing
This site is operated from South Africa and is not currently deliberately marketed or targeted at visitors in the EU or UK. People in those regions may still reach a public website on the internet. If deliberate EU or UK targeting or service delivery is introduced later, we will reassess the applicable data-protection obligations, provider arrangements, transfer safeguards, and this notice before doing so.
Formspree and Cal.com currently publish United States processing and transfer information. Google Workspace and the hosting providers support mailbox and server operations; the account agreements and settings applicable to those services govern their processing details. We will update this notice if a material change in providers or processing affects website visitors. Nothing in this notice is a claim that a particular privacy law does or does not apply in every situation.
How long we keep information
Our retention period for ordinary website enquiries that do not become an active client relationship is up to 24 months, after which our records will be deleted or securely anonymised, subject to any legal or security need to retain a particular record. Provider-held copies are handled under the applicable provider terms and account settings and may follow a different deletion process. Active client and contract records are handled separately for as long as necessary for the relationship, legal obligations, accounting, dispute resolution, or other documented requirements.
Your rights
Depending on where you are located and the applicable law, you may have the right to ask us to:
- confirm whether we hold personal information about you and provide access to it;
- correct inaccurate or incomplete information;
- delete information, or restrict or object to a particular use, where the law permits;
- provide information in a portable format where that right applies; and
- stop processing based on consent when you withdraw that consent.
Send a request to hello@botflowhost.com. We may need to verify your identity before acting on a request. You may also complain to the Information Regulator of South Africa or the relevant data-protection authority in your jurisdiction.
Security
We take reasonable technical and organisational measures to protect website information against loss, unauthorised access, alteration, or disclosure. No internet transmission or storage system can be guaranteed to be completely secure. If you believe that information has been exposed or misused, contact us promptly at hello@botflowhost.com.
Cookies and similar technologies
The static pages do not intentionally use non-essential advertising or analytics cookies. The external booking flow and form service may use their own cookies or technical storage when you interact with them and will provide their own notices. We will update this page and add any required consent controls before introducing non-essential analytics, advertising, or tracking technologies.
Website terms
- This site provides general information about BotFlow Host. Pricing and service descriptions are indicative until agreed in writing.
- A website enquiry or booking does not create a service contract. Services are governed by a separate written agreement.
- Comparison pages are provided for information and do not constitute an endorsement or guarantee about a third-party service.
- External links lead to services operated by others. Their terms and notices apply when you use them.
- Nothing here excludes or limits a consumer, privacy, or other legal right that cannot lawfully be excluded or limited.
These website terms are governed by the laws of South Africa, subject to any mandatory rights or protections that apply to you under applicable law.
Changes and contact
We may update this page when our processing, service providers, or legal obligations change. The effective date at the top will show when the latest version was published. Questions, requests, and privacy concerns can be sent to hello@botflowhost.com.
If deliberate EU or UK targeting or service delivery is introduced later, we will review the applicable notice and processing setup before relaunching that activity.
